RESO Project Coordinator

Job Description:
RESO’s Project Coordinator is responsible for assisting in coordinating logistics and details in events, membership, and marketing as needed to support the organization’s strategic plan. This role offers room for growth, with responsibilities and scope expanding based on performance.
The Project Coordinator will represent RESO with dignity in daily duties and client functions where presence is required.
RESO is a remote work organization, which means no relocation or daily commuting to physical office space is required for the successful candidate. As a 501(c)6 non-profit organization, the staff team exemplifies excellence in teamwork, sharing of successes and challenges and working together. We provide superb service and outstanding results to our membership, represented by our Board of Directors.
Duties and Responsibilities:
Events
- Attend and assist onsite with RESO Conferences hosted in various locations within the U.S. twice a year. Duties include running onsite registration desk, attendee communications and support.
- Manage the online registration process, monitoring payments and providing customer service to attendees.
- Manage conference digital platform content.
- Order and ship supplies for RESO conferences and outreach efforts at other industry conferences, tradeshows and events.
- Create reports on attendance and budget. Organize and track speaker management. Maintain a master spreadsheet of all details to be shared with team members.
- Work with other events team members on any other special projects as needed.
Project Management
- Schedule campaigns with MarCom and membership teams.
- Take notes at weekly operations meetings and input tasks into Monday.com.
- Divide large projects into tasks, coordinate interdepartmental collaboration and create plans and timelines. Monitor deliverables and deadlines, and communicate in Slack channels with staff as needed.
- Manage backlog of tasks.
Other Administrative Duties
- Schedule meetings, poll groups for preferred times and other items to assist executive leadership.
- Assist with email campaigns in Mailchimp.
- Manage customer service email inbox, answer questions or direct to appropriate team member.
- Manage company office accounts, file receipts for recurring expenses.
- Maintain additional spreadsheets, rosters and files as needed to support operations.
- Report directly to RESO’s Chief Operating Officer.
Experience, Knowledge, Skills and Abilities:
- Systematic and organized: driven for efficiency and comfortable with change
- Proven ability to thrive in a fast-paced environment managing multiple projects simultaneously with remote team members
- Strong attention to detail and impeccable administrative and organization skills
- Excellent verbal and written communication skills, ability to provide superior customer service
- Experienced in Microsoft Office/Google Workspace, online task management systems, and AMS databases
- Strong Excel/Google Sheets experience
- Excellent teamwork and time management skills
- Ability to travel to RESO conferences and events, estimated at 2.5 weeks per year, working 12 hour days during those events
- Can be located anywhere in the U.S. but work on Eastern Time zone work hours
- Minimum four-year, college degree and/or minimum of four years of direct or commensurate experience
